Student Services Officers

 

Macquarie Grammar School is an independent fully comprehensive, co-educational grammar school from Years 7 – 12, located in the Sydney CBD. It is seeking a Student Services Officer to support the administration and admissions of both domestic and international students. You will be the first contact person for students, parents and guardians.

Primary duties: 

- Monitoring student attendance and management of critical attendance records 

- Communicating with parents/guardians/homestays of student absenteeism via email, telephone and other forms of communications. 

- Handling incoming phone and walk in enquiries - Regular updating and maintaining of student records in the computer management system and paper files. 

- Performing student pre-enrolments, orientation, reception duties and other student related duties. 

- Confirming and processing student commencement and enrolment cancellation - Processing and issuing: warning letters, enrolment cancellation and school transfer, and extension requests. 

- Generating reports from the student management system and PRISMS, and assisting the Operations Manager. 

- Data entry of the school timetable into the school management system and confirming the information with the Head of Student Welfare and Operations. 

- Ensuring all student files are compliant with NSW Schools Registration and Accreditation requirements. 

- Formulating and editing the School Newsletter.

 

Secondary duties: 

- Assisting with all school events 

- Providing support and coordinating Homestay arrangements. 

- Providing support and coordinating Guardianship arrangements. 

- Cross-checking the student overseas Health Care (OSHC) record with the Admissions Officer 

- Uploading information to MySchoolBag and website - Creating new employee’s profile in the system 

- Updating and maintaining staff and contractors’ contacts

 

To be successful you will have: 

- Previous experience in a similar role - Knowledge of PRISMS, ESOS Act of 2000 and student welfare for under 18s. 

- Superior written and verbal communication skills. 

- Attention to detail and effective time management 

- The ability to generate Excel reports. 

- The capacity to work autonomously and capable of working in a dynamic team environment 

- Ability to speak another language, preferably Korean, Vietnamese, Japanese, Thai and Indonesian
